How to Schedule Shifts in HReasily Pro Mobile App

Modified on Fri, 18 Sep at 2:26 PM

This guide explains how administrators can create, update, publish, and delete Scheduled Shifts in the HReasily Pro Mobile App.

Problem

Previously, Scheduled Shifts in the HReasily Pro Mobile App were limited to view-only access. The mobile experience now supports key shift management actions based on user permissions, allowing administrators to manage schedules directly in the app.

Symptoms

  • You can open Scheduled Shifts but cannot yet confirm the correct flow for assigning or updating shifts.

  • You need to create shifts for one or more employees from a mobile device.

  • You need to publish unpublished shifts or remove incorrect shift records.

  • You want to verify what different users can see in My Shift and Team Shift.

Prerequisites

  • You are using the HRE Pro Mobile App.

  • You have access to the Timesheet module.

  • Your user role has permission to manage Scheduled Shifts, such as an administrator.

  • Relevant assignments and employees are already set up in Timesheet settings.

Solution

Step 1: Open Scheduled Shifts

Log in to the HRE Pro Mobile App and go to Timesheet > Scheduled Shifts.

Expected result: You can access the Scheduled Shifts area and see the available tabs or sub-menus based on your permissions.

Step 2: Go to Shift Management

If you are an administrator, open Shift Management. Use the available filter to switch between Shift Group and Employee List views.

Expected result: The Shift Management page loads and displays schedules using the selected filter view.

In Shift Group view, one shift can apply to multiple employees. In Employee List view, shifts are shown per employee.

Step 3: Create a new shift

Tap the + icon on the Shift Management page.

  • Select a Shift type: Regular Shift, Empty Shift, or Open Shift.

  • Enter a Shift Time Code if needed.

  • Select the Assignment.

  • Select one or more Employee(s) when the shift type allows it.

  • Set Schedule In, Start, End, and Break.

  • Add Notes if required.

  • Tap Save.

Expected result: The shift is created successfully and appears as Unpublished in Shift Management.

If you change the Assignment after selecting employees, the app clears the current employee selection and asks you to confirm before continuing.

Step 4: Create a shift for multiple or single employees

Choose the creation flow based on the current filter:

  • In Shift Group view, you can create a shift for multiple employees.

  • In Employee List view, tap the + icon and select an employee to create a shift for one employee.

Expected result: The created shift appears in the correct view and is associated with the selected employee or employees.

Step 5: Update an existing shift

Tap an existing shift in Shift Management to open the update page.

  • You can update the employee list for regular shifts.

  • You can update the scheduled date and start time.

  • The Assignment remains fixed to the original shift.

  • If the shift is opened from Employee List and belongs to a group schedule, confirm the message before proceeding.

Expected result: The updated shift is saved, and if the scheduled date changes, the shift moves to the new date in the Shift Management calendar.

Step 6: Publish shifts

Select one or more unpublished shifts using the checkboxes, then tap Publish shifts.

Review the Publish Shift Summary page, then tap Publish Shifts to continue.

Expected result: The selected unpublished shifts are published successfully and appear using the published state in the mobile UI.

Step 7: Delete shifts

Select one or more shifts using the checkboxes, then tap Delete shifts.

Review the confirmation dialog and tap Delete to permanently remove the selected records.

Expected result: The selected shifts are removed from the Shift Management calendar, the checkboxes are cleared, and the action buttons are hidden.

Validation and important behaviour

  • If there is already a shift within the selected time range, the app shows a validation message indicating that some schedules already exist in that time range.

  • Employee search and Assignment search are available when selecting records in the create shift form.

  • Only published shifts are shown in employee-facing My Shift and Team Shift views.

Verification

Use the checks below to confirm the process worked correctly:

  • The new or updated shift appears in Shift Management under the correct date.

  • Unpublished shifts display as unpublished until you publish them.

  • Published shifts change to the published visual state after publishing.

  • Deleted shifts no longer appear in the calendar.

  • Employees only see published shifts that match their assignment and permission scope.

Preventive Guidance

  • Confirm the correct Assignment before selecting employees to avoid clearing your selections.

  • Review the date and time range carefully before saving to avoid overlap validation errors.
  • Use Shift Group view when the same schedule applies to multiple employees.
  • Use Employee List view when assigning or reviewing shifts for a specific employee.
  • Review the publish summary before publishing to ensure only the intended unpublished shifts are included.
