[Malaysia] How to Input and View Employee's Accumulated Remuneration for Tax Calculations

When running payroll, it’s important to make sure an employee’s accumulated remuneration details are correct. These details are used for Monthly Tax Deduction (MTD/PCB) calculations and are also reflected in statutory reports like the EA form.


In most cases, the system will automatically capture data from each approved payroll. However, if any payroll records are missing or incomplete, you’ll need to update the information manually. You can also follow the steps below to view the amounts captured for tax calculation purposes.


This guide walks you through how to input new information or view existing data in the system.


1. Navigate to the Staff Directory.

 

 2. Find the employee you want to update. From the dropdown, choose Payroll Info and click GO.

 

 3. Scroll down to the Employee Payroll Info section and click EDIT.

 

4. Scroll to the Tax Details section, expand each part of this section to view or enter the following information:

  • Gross Income & Total Accumulated MTD
  • EPF deduction
  • Other deductions (if applicable)
  • Benefit-in-Kind (if applicable) 





Do I need to update historical payroll data?

Yes. If you’re using the computerized calculation method, you must include past payroll data to ensure the MTD is calculated accurately.


For example, when running the May payroll, you’ll need to enter the accumulated amounts from January to April:

  • Gross Salary: RM16,000

  • EPF: RM1,760

  • MTD: RM53.40


These values should be reflected under:

  • Tax Details: Employee MTD and Income Info (in MYR)

  • Tax Details: Employee Deduction Info (in MYR)


When cross-checking with the LHDN PCB calculator for May, these accumulated amounts will align with the relevant columns.


Additional Note

The employee’s income and tax details recorded in their payroll info will also appear in their EA Form, which can be generated from the Company Payroll Info page.
